This policy explains what MyVentry collects, why, where it is stored, and the choices you have over it.

Who we are
MyVentry is operated from Botswana and provides inventory, order and tool-tracking software to businesses. In this policy “you” means the organisation holding an account and the people it invites into that account.
What we collect
Account information
Names, email addresses and authentication details, handled by our identity provider. We do not store passwords ourselves.
Business data you enter
Inventory items, orders, clients, vendors, purchase orders, tool movements and any notes you record. This belongs to you; we process it to run the service.
Payment records
Because payment is made by bank transfer or mobile money, we store the reference number, amount and the confirmation screenshot you upload so that a payment can be verified and approved.
Technical logs
Server logs recording actions taken, timing, and errors, including the account and organisation involved. These are kept for security, troubleshooting and audit purposes.
How your data is separated from other customers
Each organisation's records are isolated at the database level rather than only hidden in the interface, so one organisation's queries cannot reach another organisation's rows.
Who we share it with
We do not sell your data. We share it only with the service providers needed to run MyVentry: authentication, database hosting, file storage for payment receipts, and transactional email. We also share it where the law requires it.
Where it is stored
Data is hosted with cloud providers that may store or process it outside Botswana. The generated policy must name the specific providers, regions and the lawful basis for any transfer.
How long we keep it
Business records are kept for as long as your account is active. Audit entries are insert-only and retained as a tamper-evident history. Retention periods after cancellation must be stated in the final policy.
Your rights
You can request a copy of your data, ask for corrections, or ask us to delete your account. The final policy must set out how to make a request and how long we take to respond.
